Redlands General Practice is committed to protecting the privacy and confidentiality of your personal and health information. This Privacy Policy explains how we collect, use, store, disclose, and manage your information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth) and RACGP Standards for general practices (Criterion C6.3).

1. What we collect

We collect personal and health information necessary for your care, including:

  • Your name, date of birth, address, contact details, Medicare number
  • Medical history, test results, medications, allergies, treatment plans
  • Billing and payment information
  • Information from online booking (HotDoc), telehealth consultations, and digital tools (see section 8)

  • Directly from you: Forms, consultations, phone calls, emails, online booking
  • From third parties: Other doctors, specialists, hospitals, pathology/radiology, My Health Record
  • Automatically: Website usage via cookies (see our Terms and Conditions)

3. Why we collect and use your information (Primary purpose)

Your information is used for:

  • Providing clinical care and treatment
  • Communicating test results, referrals, recalls, reminders
  • Medicare/patient billing and claims
  • Practice administration (scheduling, quality improvement)
  • Legal obligations (notifiable diseases, child protection)

4. When we disclose your information (Secondary purposes)

With your consent or as required/authorised by law, we may share information with:

  • Other healthcare providers involved in your care (via secure Electronic Transfer of Prescriptions (eTP), My Health Record)
  • Medicare, private health insurers, Centrelink
  • Specialists, hospitals, allied health professionals
  • Pathology/radiology services
  • For accreditation, or public health reporting (de-identified)

5. Your rights – Access, correction, and complaints

  • Access: You can request access to your health records. We will respond within 30 days.
  • Correction: Notify us if your information is inaccurate/outdated.
  • Anonymous dealings: Where practical, you can deal with us anonymously (except for Medicare claims).
  • Complaints: Contact our Practice Manager. If unresolved, complain to the Office of the Australian Information Commissioner (OAIC):

6. Secure storage and transfer

  • Records stored in secure clinical software with authorised access only
  • Electronic transfers use encrypted channels (eTP, secure patient portals)
  • Paper records securely stored/shredded
  • Staff trained on confidentiality and data handling

7. Data breaches

If we suspect a data breach affecting your privacy, we will:

  • Assess eligibility for Notifiable Data Breaches scheme
  • Notify affected patients and OAIC where required
  • Take steps to minimise harm

8. Digital tools and technologies

  • Online booking (HotDoc): Collects basic contact details per HotDoc’s privacy policy
  • Telehealth: Recorded/stored per consultation consent
  • AI tools (if used): Digital receptionist messages reviewed by staff; AI scribe drafts edited/reviewed by your GP with consent
  • Website: Uses cookies/analytics – see Terms and Conditions

9. Overseas disclosure

We do not routinely disclose information overseas. Any cloud services comply with APP 8.

10. Retention

Records kept for minimum legal periods (7 years post-treatment for adults; until age 25 for minors).

Updates posted on our website and reception display.
